The Difference Between Bills, Expenses, and Vendor Payments

QuickBooks uses terms that can feel confusing when you’re new to bookkeeping. Three of the most misunderstood are bills, expenses, and vendor payments. Here’s the simplest way to understand them:

✔ Bills

A bill is something you owe. You’ve received it, but you haven’t paid it yet.

✔ Expenses

An expense is something you’ve already paid for. The money has left your account.

✔ Vendor Payments

A vendor payment is how you pay a bill. It clears what you owe.

Why this matters: If you enter everything as an expense, you lose track of what you owe. If you enter everything as a bill, your books will show unpaid balances that don’t exist. Using the right workflow keeps your accounts payable clean and accurate.

Once you understand the difference, QuickBooks becomes much easier to navigate — and your financial reports become far more reliable.
